[Note: these templates illustrate how background information might be presented to the meeting. Information about the issue and any different scenarios or actions that the board/committee may need to consider should be included here, including any relevant policy, strategic planning items etc. It is good to list any potential benefits or detriments here that you may be aware of if the decision goes ahead. Try to keep the information short, i.e. 1-2 pages. There needs to be enough information for the group to reach an informed and reasonable decision including ramifications, costs, etc. Any anticipated opposition to the decision also needs to be outlined.]

BACKGROUND/ISSUES

The Executive Officer raised in her December report the need for a new photocopier.

Some research has been undertaken in line with board directives to find the most appropriate machine available for current and anticipated needs.

Four machines have been identified which may be suitable, and three separate quotes for the preferred machine have been sought. The best price available is $7,525.00 for a Whizbo X250s. This machine will also meet some printing needs and will professionalise the in-house publications produced by our organisation.

This amount is above the financial delegations for the Executive Officer, so board approval is sought for this purchase. The amount will be sourced from reserves as a large capital equipment purchase.

Recommended Decision: To approve the expenditure
